Hi.  I’m Devon Dean, content director here at projectmanager. com.  Today I’m going to teach you how to help sell your project using a project proposal.  A key thing to remember is that people buy from people.  Don’t expect the project proposal document that you put together to be taken up by the decision makers in an organization in isolation of any communication you’ve had with them and award funding and resources and mindshare to that project.  It’s important to remember this because you can write the best project proposal document but without that people interaction you have a slim to no chance of getting your project funded. While you’re preparing the project proposal document it’s really important for you, your project sponsors and the champions of your project to go out there and actively lobby the decision makers of your organization about your project.  Use those lobbying sessions and those one on one meetings to actually refine and hone your understanding of what the problems are in your organization and the benefits that your project can actually realize, that strike a chord with those decision makers.  In developing your project proposal document I highly recommend in tandem going out there and actively seeking the feedback of those decision makers so that feedback help you refine and forge the sales pitch you put together in your proposal document. Your decision makers are going to make the decision whether to thrill or kill that project within the first five minutes of picking up your project proposal document so it’s really, really critical that you make a big impact right at the start of that project proposal document.  The way you do that is in stating that problem statement.  You really need to paint a bleak picture of your organization that shows or depicts the problems that you’re having in the organization which could be overcome had your project been in production when those problems occurred.  Highlight some specific examples of where opportunities were missed or where risk or costs were incurred that your project could have prevented or could have gained access to in terms of opportunities if your project had delivered by the time of that event. Efficiency gains or general skills uplift are not the messages you want to communicate in terms of looking for those problem benefits.  By saying that Sally works 50 hours a weekend your project is going to solve that problem is really not going to strike a chord for those decision makers.  Look for those specific examples of where your company missed an opportunity or incurred costs because your project wasn’t in place.  Put those in your problem statement. Now the vision statement is a section that needs to tie your project to the company’s long range strategy and vision and long range goals.  Without tying your project in to your organizational strategy and vision you run the risk of having your project being looked upon as a rogue project: it’s out there in the distance, it really doesn’t fit with what we’re doing so you run a risk of not having your project being funded because of that reason.  You need to tie your project into your company’s organizational strategies and vision. Benefits further expand upon the vision that your project will have, that you paint the picture of that vision.  You’re going into a bit more specific details on what are the things your project will deliver, what new capabilities or what costs you’re going to avoid by having the project deliverables in place.  Be very specific about the benefits and make sure they’re things that are measurable. The deliverables section further goes into another level of decomposition about what your project is going to deliver.  It talks about the artefacts which your projects will deliver and how those will be delivered in terms of what the users can expect.  A deliverable might be, for example, for a call center project you’re delivering new computer telephony integration.  That would be a deliverable when that call center has that equipment. Success criteria are very important to outline in that project proposal.  You need to be able to have smart success criteria which mean it’s specific, measurable, achievable, and realistic and time bound.  These success criteria, once they’re met, give the project owners, the decision makers and the stakeholder’s 100% confidence that your project has achieved success.  It’s important that you list out those criteria which everyone is looking at your project to deliver. The next section is talking about how your project is going to achieve the deliverables and success criteria and benefits.  In here is where your deadlines are listed, where the project plan comes together and what the approach to delivery might be for your project. Are you going to use external vendors? Are you going to use internal staff? Are you going to use an agile approach to delivering that project or are you going to use a more traditional waterfall method to enable your project to deliver on its deliverables? Lastly, of course, the cost and the budget.  Here’s where you pull it together and you show the funding plan for that project and how it’s going to achieve its deadlines against those deliverables and for the dollar value. Now if you find in the first section that you’re getting into quite a lot of detail that runs past, let’s say, two pages I think it’s really important to take the time and consolidate all the high points from these into an executive summary for that document. Put the high level problem, visions and benefits in that exec summary.  As I mentioned before, decision makers will take about five minutes looking at your proposal to make sure that it’s something they’re going to fund or decide that they’re not going to fund it in this year.  Ensuring those messages are concise is really critical and by putting these elements into executive summary if you find them going long is a really important way for you to quickly communicate those ideas. It’s important to remember the flow of the document in the proposal.  You need it to flow like a fiction book.  You need to tell a story and paint a picture and leave no stone unturned for your decision makers to ponder.  Everything needs to flow from the start of the problem down to the cost and benefits in terms of the key themes of your project need to be expounded upon, need to be mentioned at the start and then further drilled down upon throughout the rest of your project proposal.  If you have items that you’re introducing in your deliverables, for example, that don’t fit in with solving the problems you’ve identified up here or fit in with the benefits that you’re going to realize your decision makers will look at that and it will cause them to think a little bit more about your proposal in terms of does this proposal really communicate in a tight way the objectives that it’s going to achieve for the organization.  It needs to flow.  All the items here need to mesh with one another and not introduce any new topics or any new items as you go along in the project document. Your project proposal is one key way for you to communicate your project’s vision and benefits to the organization but a project proposal in itself is not going to sell your project and get it funded and resourced.  Only you can do that.  Only your champions and your sponsor can do that.  Like I said in the start, the proposal will help you sell your project and get it funded and resourced but really you need to be there actively lobbying for that project and getting it off the ground. Michael Essay: Just because you’re small business is on Twitter or Facebook doesn’t mean you have a savvy social media strategy.  So how do you squeeze the most out of social media? Steve Dalton director of business development for Golden Technologies has a few suggestions. Steve Dalton: Most small businesses don’t want to be on social media because it seems overly transparent and a little bit scary.  So most small businesses their strategy starts with their sixteen year old has a Facebook page and they are watching over their sixteen year olds shoulder and they are saying to themselves wow they have been able to reconnect with friends and grandma and an uncle in Oklahoma and wouldn’t it be interesting if I could do the same thing with my business.  I could connect with people from high school and I could connect with people from former customers and I could connect with people in a much wider geographic area.  So I really think the beginning of most small business strategies sadly is a coincidence. From there we hope that the strategy rolls forward with things like exactly like any kind of marketing and advertising.  Who am I trying to reach?  What am I trying to say? Is true or false, and it says, "Pharaohs were always buried in tombs”, you might get confused.  You might put down the wrong answer.  So it's very important to pay attention to "always", "often", "sometimes", "never" in true or false questions. Point No.  4: This is probably one of my favorite points.  During tests -- this happens to all students -- they will pick on answer; and then, they'll think about it; and they’ll see another answer; and they'll want to change their answer; and they don't remember -- they don’t know, "Which one should I pick?" It's good to go with your first instinct.  So if you’re doing multiple choice, and right off the bat you think, "Okay, the answer is A”; and then you look, and you think, "Okay, well, maybe the answer is C -- if both of them seem like good possibilities, and you don't know, choose the one you thought of first.  Okay? Go with your gut feeling.  Go with your instinct. No.  5: Questions often follow passage order.  So what does this mean? Well, it means that Question 1 will probably be somewhere near the top of the reading; Question 2 will be underneath Question 1 in the reading.  So the questions -- one will be at the top, then two, then three, then four, then five.  So it's important because if for example you find the answer for Question 2, it's very probable that the answer for Question 1 is above Question 2.  So it's very important that questions often -- not always, but often -- follow passage order.  This can help you find answers for other questions. My next tip for the reading is that it's very important to understand how paragraphs work. What do I mean by that? I mean understanding specifically topic sentences.  There are a lot of questions in the IELTS -- the reading module -- where if you know what a topic sentences, it can help you find things a lot quicker, a lot easier.  So what is the topic sentence? For every paragraph, there's usually one sentence that almost sums up the paragraph.  It's the main idea of the paragraph.  Where do you find the topic sentence? Not always, but usually, it’s the first sentence, or it's at the beginning somewhere in the paragraph.  So this is a very good tip, especially for paragraph heading and matching questions.  By understanding what topic sentence is and where to find it, you will save a lot of time. My seventh tip is that you should really practice each question type.  I've mentioned some different question types in this video.  I just talked about paragraph heading matching, multiple-choice, short answers, True, False, and Not Given.  There are many different types of questions on the reading module of the IELTS.  So it's very important that you get familiar with each of these questions, you practice each of these questions, so then, on test day, you feel more confident, more comfortable, and there are no surprises.  So practice a lot.  Practice each question type. My eighth tip is that -- and this isn't just for the reading modules of the IELTS; it’s for tests in general.  If you are doing a test where there are other people around, it’s good not to practice only in your home.  On test day, when you're doing the reading module, there will be other people around you.  And if you're not used to taking tests with other people around you, you might get distracted.  You might hear this person over there chewing their bubble gum.  You might see that person over there crying because they have a very bad answer, and they're having difficulty on the IELTS.  You can see all sorts of things in the room with you.  And that could distract you.  So it's very, very important to get used to being distracted while you're taking the test.  So what I recommend: Try to do the IELT Sat a library.  Get a practice test; go to the library; do it there.  Try it on the bus, even. You can do it on different places so you're used to distractions so on test day, those distractions won't distract you. My ninth tip is a warning: Be careful.  Be careful of what? A lot of the times, students will see in both the reading and the questions the same word.  So a question will be looking for some sort of word -- you know, it's in the reading.  And so they'll think that because they see the word in the question and in the reading that that's the word they need or that’s the heading they need.  It's not always the case.  It's very important to not use this logic.  It's important to know that this is not always a correct method.  You know, sometimes, you will need specific detail, and you might write the wrong thing.  So if you see the wording the question and the reading passage, it's not necessarily the correct answer. No.  10 -- Okay.  This is something we're going to practice together, now.  It's good to practice skimming and scanning in general for the reading test.  "Scanning" is where you use keywords, and you just quickly look through the passage looking for a specific word or a specific piece of information, okay? So one way to get good at skimming -- not skimming; scanning-- is to scan backwards.  Now, how would I do this? Okay, I'm going to ask a question. How many passages are on the IELTS? Now, before you read, I want you to look for a number, and look this way.  Okay? So you can start scanning.  How many passages are on the IELTS? You're just looking for the keyword.  If you read the sentence, like, "Students read three passages.  They get progressively harder", you're wasting too much time reading.  It’s lot better if you just look for the piece of information, in this case, a number.  So I could just go, "Three.  There are three passages. “Okay. Hello.  I'm James Manktelow, CEO of MindTools. com, home to hundreds of free career-boosting tools and resources.  And I'm Amy Carlson from Mind Tools. How much time do you spend every day reading and writing? Many of us spend quite a bit of our days doing both of these things. And, you don't need us to tell you how frustrating and time consuming it is when you have to read through an email or memo that's poorly written. But, how proficient and clear is your own writing? Poor writing not only causes delays and frustrations for others, but it can also set back your own career.  For instance, your boss may question your skills if you send unclear emails to her.  Or, poorly written instructions could confuse your team, lowering productivity and causing delays. If you write well, you're going to make a great impression on the people around you. So, it's definitely worth the effort to take the time to hone these skills. The first step to writing clearly is to know your audience. An email written to a trusted team member is going to sound different from an email you’d send to a new client.  Make sure that the tone -- and content -- matches the audience that you're writing for.  When you're ready to start writing, think about your audience again.  Remember, they have no idea about what you're going to tell them.  What do they need to know first? Next, identify your main theme.  This is the central point that you want to make.  If you're having trouble defining what your theme is, then imagine that you have fifteen seconds to explain your point. What would you say? If you're creating a longer written piece, like a report, then take time to create an outline. This will help you focus your thoughts so that you can lay out information in a logical order.  Outlines also help you make sure that you don’t forget an important piece of information.  When you write, use simple words.  Longer words can be impressive, but they can also confuse and frustrate your readers.  Unless you ‘rewriting a highly technical piece, stick to simple, clear words. Next, pay attention to the structure of your writing. Long sentences and paragraphs are more difficult to read and understand. Also, use headings, subheadings, and bullet points to break up your message. Once you've written your piece, go back over it for errors.  This is a step many people skip, but grammatical errors are not only unsightly and confusing -- they also make you look unprofessional.  So, make sure that you've used commas and apostrophes correctly, and that you haven't misused any words. Your last step is to proof-read your document again.  It's easy to overlook mistakes in our own writing, so it's always worth a second look.
